How to connect a calm visual setting with the practical needs of your ceremony.
01
Start by identifying who needs to sit in the main area and how the ceremony will be arranged. Share any seating requirements with your decorator. The backdrop should frame those arrangements, not force people into an awkward layout. Consider the route into the room and leave a clear space for family members and photography.
02
Some families prefer a simple ivory backdrop; others want a fuller floral arch or a coordinated stage. Describe the mood in a short sentence before discussing individual pieces. Select a palette that sits comfortably with the venue and confirm the actual materials proposed. White in a reference image can appear quite different under warm or coloured lighting.
03
Confirm whether flowers are fresh, artificial or mixed. Ask which sofa, bench or seating arrangement is included and whether its size suits the people taking part. A quotation should specify the main decorative pieces, backdrop dimensions and any additional areas. Do not assume that an entrance, aisle or decorative table is included because it appears in a sample photograph.
04
The venue should confirm access, fixing restrictions and setup times. Your photographer can advise on light direction and the space needed for portraits. If a platform is involved, ask the venue to confirm its suitability and safe access. Decoration services do not replace those responsibilities. Record any important restrictions in the brief.
05
Send the date, locality, room or hall photographs and your preferred palette. Review the final design description alongside the quotation, including installation and collection responsibilities. Keep a copy of what is agreed so the people arranging the ceremony have the same understanding. Ask questions before confirming rather than relying on assumptions from a reference picture.
